We are currently seeking a proactive and detail-oriented Construction Administrator to join our team. This role is crucial in ensuring the smooth execution of construction projects by coordinating the flow of documentation, communication, and administrative processes between project managers, field personnel, subcontractors, vendors, and clients. The Construction Administrator will serve as the central hub for managing contracts, RFIs, submittals, change orders, and schedules—ensuring all stakeholders stay aligned and informed throughout the project lifecycle. This individual will play a key role in maintaining quality control over documentation, supporting compliance efforts, and helping drive projects to successful and timely completion.
In addition to supporting active construction projects, the Construction Administrator will also be an integral part of the bidding and preconstruction teams, assisting with assembling bid packages, tracking bid deadlines, gathering subcontractor proposals, and ensuring all required documentation is complete and submitted on time. This dual role provides a unique opportunity to contribute to both the front-end and execution phases of construction work.
Key Responsibilities:
- Provide day-to-day administrative support to the construction project teams to ensure seamless project execution.
- Create, manage, and track construction documents such as contracts, purchase orders, RFIs, submittals, change orders, and close-out packages.
- Maintain and organize detailed project records, logs, schedules, and documentation using construction management platforms (e.g., Procore, Bluebeam).
- Coordinate and communicate regularly with subcontractors, suppliers, vendors, architects, engineers, and clients to maintain alignment on project timelines and deliverables.
- Assist project managers with monitoring project milestones, deadlines, and compliance with contractual obligations.
- Play a part in the bidding and preconstruction process.
- Prepare and distribute meeting agendas, record minutes, and follow up on action items.
- Support budget tracking activities, including invoice reviews, payment application processing, and cost documentation.
- Ensure all documentation and processes comply with internal policies, industry regulations, and safety standards.
- Proactively identify administrative bottlenecks and recommend process improvements to enhance project flow.
- Contribute to a positive, team-focused environment by fostering communication and collaboration across departments.
Qualifications:
- 5+ years of experience in construction administration, project coordination, or a similar role in the AEC (Architecture, Engineering, Construction) industry. Preferred
- Strong working knowledge of construction documents, processes, terminology, and compliance standards.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook) and project management tools such as Procore, Bluebeam, or similar platforms.
- Excellent time management and organizational skills with a demonstrated ability to prioritize tasks and meet tight deadlines.
- Strong interpersonal and communication skills, both written and verbal, with the ability to interact professionally with all levels of stakeholders.
- Self-motivated, resourceful, and able to work independently while also thriving in a collaborative team environment.
- High attention to detail, accuracy, and follow-through.
